Job Title: Administration & Communications Coordinator
Reports To: Executive Director
FLSA Status: Exempt
Summary: Responsible for executive administration, office management, and assisting the Executive Director with communications activities related to the Cuyahoga Health Access Partnership’s (CHAP) mission. Duties and Responsibilities include the following. Other duties may be assigned.
Administration
- Answer phones, assists callers with obtaining information about CHAP, and refers enrollment calls to the appropriate staff member.
- Assist in meeting coordination and preparation for the Board of Directors and other CHAP committees.
- Maintain the Executive Director’s calendar and provide necessary administrative support to Executive Director.
- Maintain the organization’s shared calendar, contacts, and committee distribution lists.
- Purchase office, computer, and committee meeting supplies. Sort and deliver mail.
- Possess a basic understanding of all CHAP projects to communicate effectively with Board and committee members.
- Perform specialized research as needed.
- Performs other related duties as assigned and agreed to with the Executive Director.
Communications
- Assist in the production and development of print and electronic communications materials for CHAP members, providers, other member organizations, and the general public.
- Responsible for bidding and selecting vendors, in consultation with the Executive Director, and providing artwork and copy for print or electronic materials.
- Responsible for maintaining the CHAP website and implementing a social media plan for the organization.
- Serve as lead project manager for communications projects to ensure materials are delivered in a timely and budget-conscious manner.
- Ensure consistent use of CHAP’s logo and messaging in all communications materials.
- Assist Executive Director with organizational communications and media relations.

Education/Experience:
- Bachelor’s Degree in a related field preferred.
- 1 – 2 years of administrative experience and/or serving as an executive assistant.
- 1 – 2 years of design experience or graphics work for use in print and electronic publications.
- Exceptional time management skills and the ability to balance multiple projects simultaneously.
- Proficient in Microsoft Word, Excel, and PowerPoint and various publishing software programs. Able to learn new software programs and work in databases.
- Able to communicate effectively (written and oral) with diverse stakeholders.
- Handle confidential materials professionally with discretion on behalf of the Executive Director.

About CHAP
- CHAP is a collaboration of public and private organizations that have formed a countywide partnership to provide a coordinated system of healthcare access for Cuyahoga County’s low-income, uninsured adults. The stand-alone organization was incorporated in the State of Ohio in September 2009. It was founded on the principle that all stakeholders have a shared responsibility to address the uninsured crisis in Cuyahoga County.
Our Goal
- CHAP’s vision is to provide a system of access for uninsured adults in Cuyahoga County. While CHAP focuses on the importance of primary care, its efforts will extend throughout the entire spectrum of care.
Our Partnerships
- CHAP is unique because of the extent of the institutional commitments of its partners to caring for the low-income, uninsured of Cuyahoga County. It is managed by a Board of Directors that is comprised of all initial stakeholders, foundations and government entities. To demonstrate each organization’s commitment to this vital work, each founding member of CHAP has signed a Memorandum of Understanding.
- All participating stakeholders acknowledge the importance of working together to improve the health and well-being of our region. Each of the member organizations are committed to serving our community by caring for the uninsured and working toward the common goal of increasing healthcare access.
Our Access Plan
- CHAP’s first major initiative will be to establish an access plan that connects participants to a primary care site or “medical home.” This will help patients manage their health more effectively, and in turn, improve health outcomes.
- The access plan will improve efficiency across the healthcare system by promoting care coordination and reducing episodic care, duplicative care and unnecessary evaluations.
- Initially, the access plan will be open to all uninsured adults at or below 200 percent of poverty. Program enrollment is limited to Cuyahoga County residents between the ages of 19 and 64 who do not qualify for public healthcare programs (Medicare, Medicaid and Veterans’ health coverage/VA) and are without an employer-sponsored insurance option.
